How the Pricing Panel Works

Understand the Live Quote panel (the Pricing panel) that totals your order in real time across every step.

The Live Quote panel is the card on the right side of the New Quote popup. It stays with you across all six steps (titled Order Details / Live Quote) and shows a running total of every price as you build the order. You may also hear it called the Pricing panel, as it's the same thing.

Monument order price lines

For a monument order, the Live Quote panel shows:

  • Stone: click the field and type your price for the stone. If the order has more than one stone, this becomes one line per stone (Stone A Price, Stone B Price, and so on), each with its own amount. The labels re-letter automatically when you add or remove a stone, and drop back to a single Stone line when only one stone remains.

  • Naming a stone: once an order has two or more stones, hover one of the stone tabs at the top of the panel and click the pencil (Rename this stone on documents). Type a name such as Companion upright and press Enter; clear it to go back to the letter. The same pencil is also on the stone tabs on Review & Create and in the Generate Purchase Order and Generate Foundation Order windows, so you can name a stone from whichever screen you are on. Renaming from a saved order saves straight away and confirms with a message; inside the New Quote wizard the name is saved when you save the order.

The name replaces the STONE A heading on the quote, invoice, contract, shop ticket and purchase order. The Foundation Order does not show a stone name at all. Those headings only print on orders with two or more stones, and the price lines in this panel keep their letters either way.

  • Lettering & Carving: click the field and type your lettering price.

  • Foundation: this line only appears when the stone actually has a foundation. On the Items & Configuration step, the Foundation Material row at the bottom of the Finish & Polish card offers None, Concrete and Granite, and a new stone starts at None. Pick Concrete or Granite and the Foundation line appears here, ready for you to click and type a price. Leave it on None and there is no Foundation line, nothing for the foundation in the order total, and no foundation on the invoice, receipt, quote, shop ticket or purchase order.

  • Administrative Fee: this line only appears when you toggle on Administrative Fee in the form. Click the field and type your admin fee.

  • Accessories: this line is automatically calculated based on your porcelain, vase, and etching selections. To change the amount, scroll down to the Accessories section in the form and update your configuration there.

  • Cemetery Fees: based on the cemetery you selected in Step 2. If the cemetery has multiple fees configured, you will see a dropdown where you can select one or multiple fees to apply to this order. Size-based fees require you to enter the monument dimensions first before they can be calculated. The checkbox is grayed out until dimensions are entered, and hovering shows "To calculate this fee, enter the size into the physical properties first." Fixed fees are always available immediately.

Note: Size-based fees aren't supported for orders with more than one stone. When an order has multiple stones, switch to a fixed cemetery fee instead. The panel will tell you: "Size-based fees aren't supported for orders with multiple stones. Use a fixed cemetery fee."

Tax: calculated automatically based on a tax rate. MonuDesk works down four steps and uses the first one that has a rate:

  • A rate typed manually on this order.

  • The county or zone rate of the cemetery on the order.

  • The Default tax rate of the office location this order belongs to, set per location in Settings → Office Locations.

  • Your company-wide Sales Tax % in Settings → Company Profile.

The tax rate is shown in brackets next to the Tax label, and the percentage updates instantly when you change the cemetery. Hover the tax line and the tooltip tells you which of the four the current rate came from. You can also manually override the rate by clicking the percentage and typing a new value. The override applies only to this order.

This only decides which rate gets used. The tax itself is still worked out the same way, from the line items you leave taxable.

Each line item has its own tax toggle next to the amount. All toggles are always turned on by default. Click any toggle to exclude that line item from the tax calculation. The tax total recalculates immediately.

To make the entire order tax exempt, click the toggle next to Tax to turn it off. It will show Tax Exempt and remove the tax from the order total. All individual line item toggles are grayed out while Tax Exempt is on.

Tip: Your toggle choices are saved with the order. When you use Edit Quote or Edit Order, the toggles stay exactly as you left them.

Custom line items

You can add your own pricing items to the order. Click Add Line Item in the Live Quote panel to add a custom line. Type a description and an amount. You can use this for shipping fees, tariff fees, credit card processing fees, or anything else the app does not calculate automatically. To add a discount, type a negative amount. For example, type -300 for a $300 veterans discount.

The item name field on a custom line suggests your saved Custom Line Items, reusable name and price pairs you set up in Settings. Click one and its name and price fill in, then stay editable for this order. The list puts your most-used items first. To save a new one, type a name that does not exist yet and click the Use [name] option that appears at the top.

If you run more than one location and an item has different prices per location, the list shows the price for the location this order is booked to, and that is the price that fills in.

Manage these in Settings → Custom Line Items, where you can add, edit, delete, and mark each one taxable. Learn more: How to Manage Custom Line Items

Note: Stone and Lettering & Carving are always shown for monument orders. Foundation is shown only when that stone's Foundation Material is set to Concrete or Granite. You enter these prices by clicking the dollar amount field and typing the number. Custom line items and discounts appear below these standard lines.

Service order price lines

For a service order, the Live Quote panel simplifies to:

  • Service: the price from your pricing type selection (flat, by area, or by letter count).

  • Cemetery Fees: same as monument orders.

  • Tax: same as monument orders.

Installation Location

Below the price lines, you'll see the Installation Location card. This shows the cemetery name and address, plot location details, the plot owner (if different from the purchaser), the cemetery contact person, and any cemetery notes from your settings.
