To open an order, click the Open Order Details icon at the top right of the order card. You can also click the customer name on the card to open it.

What you see at the top

The top of the order is one line: the order number, the location when your company has more than one, the started date (for example Order Started), the stage, the assigned person's round photo and the three-dot menu (⋯). When the order has a lead source, the line also shows a Source badge with how the family found you, for example Source: Referral. A quote a family sent from your website shows a blue Source: Website form or Source: MonuStudio (website) badge. The order number is editable. Click it, type a new value, and press Enter to save. See How to Manage Your Company Profile for format rules.

If your company has more than one location, the order's location shows next to the order number with a map-pin icon. People who can edit the order can pick another location there to move it. On a phone, the location sits in the header line instead: tap it, or open More and choose Change location.

When the family has asked for changes to a drawing in the customer portal, a banner across the top reads "The [family name] family requested changes to Drawing [number] on [date]", with the family's note and a View drawing button that opens Notes & Files. The banner goes away once you share a new drawing with the family (External) or a drawing is approved.

Below that line sits one row of actions:

Edit Order comes first on a confirmed order and opens it for editing. On a quote, Edit Quote sits on the Quote On Hold - Editable banner at the top of the order.

Document Generation is a dropdown with seven options:

  • Generate Quote

  • Generate Invoice

  • Generate Shop Ticket

  • Generate Receipt

  • Generate Contract

  • Generate Purchase Order

  • Generate Foundation Order

Each document uses the current, up-to-date order information. The buttons you see depend on your permissions. The price-bearing documents (Quote, Invoice, Receipt, and Contract) require permission to see prices and create financial documents, so a team member with limited access may see only Generate Shop Ticket, Generate Purchase Order, and Generate Foundation Order.

Customer Portal (Portal on a narrow screen) is the personal tracking page your customer sees. Hover the button for three choices: Send Portal Link, Copy Customer Portal Link and View Customer Portal. Send Portal Link sends the link straight away to every contact on the order: by email to each one with an email address, and by text to each one with a mobile number. The menu item reads Sending... and then Link Sent. Copy Customer Portal Link copies a secure link that works for one year, and the item turns into a check and Copied. If a family says their link does not open, copy a fresh link or use Send Portal Link. The portal works for any customer with an email address or a mobile number on the order; add either one with Edit Quote or Edit Order.

Send Payment Link (Payment Link on a phone) sits next to Customer Portal and sends the family a link to pay for the order through MonuPay. Click it, tick Email, Text message or both in the Send Payment Link window, then click Send. The window closes once the link has gone out. The link opens the order in the customer portal, where the family can pay. To use it, connect MonuPay in Settings → Integrations (MonuPay is offered to US and Canadian companies) and have a customer email address or mobile number on the order.

On Pro, Message Client comes last and opens the customer's conversation in Conversations. In a narrower window the buttons switch to short names (Edit, Documents, Portal, Payment Link, Message), and buttons that still don't fit move into the three-dot menu. Phones keep their own layout.

The three-dot menu (⋯) holds the actions that copy, share or close the whole order. It is shown to users with the Create Order, Change Stage or Delete Order permission, and each item carries a tooltip explaining what it does:

  • Duplicate Order ("Create an exact copy of this order as a new order.") creates a copy of this order with all the same configuration, customer info, and to-dos. Payments and documents are not copied. This is useful when a customer wants to compare options, like two different stone colors. Duplicate the order, edit the copy, and present both quotes.

  • Send to Supplier ("Send this order to a supplier as a price request.") sends the order to a supplier that has connected with your company. It lands on their board as a price request with the full spec: they price it and send the price back, and you accept it or ask for changes. Your own prices are never shared. It needs the Edit Order permission on top of the ones above, and it is not offered on an order you received from a partner or a supplier, or on one you have already sent. On an order you sent to a supplier before Send to Supplier became a price request, this item is replaced by Unlink from Supplier ("Disconnect this order from the supplier copy."), which keeps both orders. See How to Manage Partners.

  • Assign to partner ("Share this order with a partner company. They can review it and accept the price or request changes.")

  • Mark Complete ("Move this order to the Completed stage.")

  • Cancel Order ("Remove this order from active orders and move it to the cancelled archive.")

Navigation

On the left side you'll see three menu tabs:

Order Details shows all the order details, customer info, pricing, and installation location. On a customer pickup order there is no cemetery, so the Installation Location card is replaced by a Delivery card headed Pickup, reading "The customer collects this stone. No cemetery involved."

On a quote that came from your website (MonuDesk Max), Order Details also shows a Website lead box above the customer information, with the family's message, where the lead came from, and Open design for a MonuStudio design. While the order is a quote, the Customer Pricing box has a Send price button that emails the family your price. See Website Leads: Get Quotes from Your Website.

Activity Timeline shows a running history of the order, including payments received, edited or deleted, documents generated, a Portal link text message not delivered row with the carrier's reason when a portal text can't be delivered, status changes, and other edits over time.

Notes & Files shows your documents, uploaded files, and internal notes.
