To log a payment, open any order and click the Log Payment button below the order details pricing card.
Note: This is for recording payments that happened outside of MonuDesk (cash, check, card processed elsewhere). An integrated payment system is coming in a future update.
Filling in the payment
Amount Received is where you type the payment amount. You can type it manually or use the slider to adjust. Below the field you'll see quick buttons for 10% down, 20% down, 25% down, 50% down, or Full Balance.
Payment Method lets you select Cash, Check, Bank Transfer, or Card. When you select Check, the Received Note field opens automatically so you can add the check number.
Date Received lets you select the date the payment was received.
Payer shows who made the payment. The default value is the customer name.
Received Note is optional. Use this to note details like "customer paid cash on-site at the cemetery." This note is shown in the order overview and on the Receipt PDF.
Payment summary
On the right side you'll see a live Payment Summary that updates as you fill in the fields:
Order Total is the full price of the order.
Balance Due is what's currently owed.
This Payment shows what this specific payment will be.
New Total Paid shows the updated total after this payment.
Balance Remaining shows what will still be owed after this payment.
After saving
After you save the payment, the paid amount and balance due on the order automatically update. A receipt is automatically generated and saved under Notes & Files in the Financial Document category.
Note: Every payment you log, edit, or delete shows in the order's Activity Timeline, so you always have a time-stamped history of what changed. How the Activity Timeline Works
Editing or deleting a logged payment
You can edit or delete a logged payment yourself, including a deposit logged during order creation. Open the order and go to the Activity Timeline tab, between Order Details and Notes & Files. It lists every event on the order, including each payment. Find the payment, then edit it to fix the date, amount, method, or note, or delete it if you logged it on the wrong order. The order balance recalculates instantly either way.

Tip: To see every order with a balance still owed across your whole business, open the Open Balances Insights page. It shows aging (how overdue each balance is), total accounts receivable, and a clickable table so you can jump straight into the right order. How to Use Open Balances
