How Quote Price Guarantee Works

Flag aging quotes on your board once their pricing outlives your guarantee window, so nobody confirms an order at last month's granite price.

Granite and vendor prices move, so a quote has a shelf life. Quote Price Guarantee puts a gray banner on any quote card that has outlived the window you set, so nobody on your team confirms an order at last month's price by accident. You set it up in Settings → Order Management → Quote Price Guarantee.

It is a flag for your team and nothing more. MonuDesk never changes a price for you and never tells the customer. The banner appears on the order card only, not inside the order, not on any PDF, and not in the Customer Portal.

Setting it up

Go to Settings → Order Management and open Quote Price Guarantee. Then:

  • Tick Enable Quote Price Guarantee. It is on by default on every account.

  • Under Price Guarantee Window, set Days after quote is started. Any whole number from 1 to 365. The default is 30 days.

  • Click Save Guarantee Settings. You will see a Quote Price Guarantee saved confirmation.

The new window applies to quote cards the next time the board loads, so reload the Order Management board if you want to see the change straight away.

Good to know: this is a company-wide setting. One window covers every office, every salesperson and every quote. You need the Edit Settings permission to change it; without it the tick box, the day field and the Save button are locked for you.

What you see on the board

Once a quote passes the window, a gray strip runs across the top of its card reading Price guarantee expired · quote 34d old, with the real age in place of 34. The Quote Started row on the card also turns dark gray and bold, so your eye lands on the date that caused it.

The strip is deliberately gray rather than red. Red is reserved for an overdue promise date, which is an emergency. A quote whose pricing has gone cold is a "check this before you confirm", not a fire.

One banner per card. If a quote has both an expired price guarantee and a promise date inside your deadline-alert window, the promise-date banner wins and the gray strip is hidden. The quote is still past its window, so open the order and check the Quote Started date if you are unsure. See How to Set Up Order Deadline Alerts.

How the age is counted

The age is whole days from the Quote Started date on the card, not from the day you emailed the customer and not from the last time you edited the quote. If an order has no Quote Started date set, MonuDesk falls back to the day the order was created.

The card flags on the day the age reaches your number, so a 30-day window flags a quote on day 30.

Quote Started is editable. Click the date on the card, or on the order, and pick a new one. That means back-dating an old job you are only now entering into MonuDesk will flag it immediately, which is the intended behavior.

Quotes only, never confirmed orders

Only orders sitting in the Quote stage are ever flagged. The moment a quote is confirmed the gray strip disappears for good, no matter how old the order gets afterward. The guarantee is about offers still on the table; once the family has said yes, the price is a deal you have already struck.

What to do with a flagged quote

You have three sensible moves.

  • Re-price it. Open the order and click Edit Order at the top. The wizard header reads Edit Quote while the order is still in the Quote stage. Update your pricing and save. If the cemetery has changed its fees since you wrote the quote, re-select the cemetery in the logistics step so the fee is recalculated from your current setup rather than the number frozen into the old quote.

  • Honor it as-is. Drag the card to Confirmed Order. The strip goes as soon as the order leaves the Quote stage.

  • Let it go. If the family has gone quiet, open the order, use the three-dot menu and choose Cancel Order to move it to the Archive.

Gotcha: re-pricing a quote does not reset the clock. The age is counted from the Quote Started date, and editing the quote does not change that date. After you re-price, click the Quote Started date on the card and set it to today, otherwise the card stays flagged with its old age.

Turning it off

Untick Enable Quote Price Guarantee and click Save Guarantee Settings. Every gray strip disappears from the board immediately for everyone. The day field grays out but keeps your number, so turning the feature back on later restores the same window.

Turning this off has no effect on your promise-date colors. Order Deadline Alerts is a separate switch on its own screen.
