The first step when creating a new quote is Client Info. This is where you enter the purchaser's details and choose what kind of contact they are.

Purchaser Details

As you type in the Full Name box, MonuDesk searches your saved contacts and suggests matches below the field. Every word you type has to start a word in the contact's name or company name, so smith finds Dr. John Smith and jo sm finds John Smith. If you see the contact you want, click the suggestion to auto-fill all the fields (name, phone, email, address, and category).

If no match exists, just keep typing. When you save the quote, MonuDesk automatically creates a new contact using the details you entered.

Fill in the following fields:

  • Full Name: your customer's whole name in one box, for example John Smith. Required.

  • Phone Number: their phone number. One of Phone or Email is required. With a mobile number, MonuDesk can text the customer their portal link.

  • Email Address: their email. One of Phone or Email is required.

  • Address: the customer's home address (not the cemetery address). Start typing and select from the Google Places autocomplete to auto-fill street, city, state, ZIP, and country (USA). This address is used on the automatically generated invoice and receipt.

Once you've entered the full name and either a phone number or email, the six steps in the header bar at the top of the popup light up and every step becomes clickable. You can fill in the rest of the form in any order, or skip ahead and come back. Everything past these required fields is optional. From this step on, Order # in the header shows the number the order will get, for example Auto: L6-ORD-81.

How the Full Name box splits a name

MonuDesk saves the first word as the first name and the rest as the last name, and shows the result under the box, for example First: Mary · Last: Ann Lee. Click Edit to open separate First name and Last name fields and fix a name MonuDesk split the wrong way, then Done.

  • A title in front, such as Dr, Mr, Mrs, Ms, Rev, Fr, Pastor or Sgt, is left off the saved name, and the line under the box tells you so.

  • A suffix such as Jr, Sr, II, III, IV or MD stays on the last name.

  • A one-word name, such as Walmart, saves with an empty last name.

  • When the contact category is a business (anything other than Retail or Plot Owner), the whole name is kept as one name and the line reads Saved as a business: Smith Family Trust.

  • If a name contains a word like LLC, Inc, Corp, Trust or Memorials while the category is still a person, MonuDesk reminds you: "Looks like a business. Pick its category so the name is kept whole."

Already in your contacts

If the name you typed, together with the phone number or email, matches a contact you already have, a blue notice appears: Already in your contacts: John Smith, (412) 343-8555. Click Use this contact to fill the order from that saved contact instead of creating a second one. Case, punctuation and spacing don't matter to the match.

Tip: You don't need to use your mouse for every field. Click one field and press the Tab key on your keyboard to jump to the next one.

Lead source

At the top right of the Purchaser Details card sits a Lead source pill for recording how the family found you. Click it and pick from the list headed How did they find you?: Phone call, Walk-in, Funeral home, Cemetery, Referral, Returning customer, Online search, Social media, Radio, Website form, MonuStudio (website) or Other. The pill then shows your choice. To clear it, open the pill again and choose Not recorded. It is optional.

The lead source is saved with the order. The header of the order popup shows it as a Source badge, and you can show it on the board cards by switching on the Lead source row in Settings → Card Display. It also fills in the Lead source on the customer's contact in Contacts when the contact has none yet. A lead source already on the contact is never overwritten.

Quotes that families send from your website (MonuDesk Max) arrive with Website form or MonuStudio (website) already set. Picking either one yourself marks a quote as a website lead too: its card shows the Website tag, and while it is a quote the order's Customer Pricing box offers Send price to email the family. See Website Leads: Get Quotes from Your Website.

Contact Category

Right here in Step 1 you can set the contact's category. The picker groups them under Retail (Retail and Plot Owner) and Wholesale (Monument Company, Cemetery, Funeral Home, Vendor and Other Business Type). Retail is selected by default. Any category outside Retail and Plot Owner also keeps the Full Name whole, as a business name.

You set this right here in Step 1. If your customer is a business (a monument company, cemetery, funeral home, or other wholesale account), choose the matching category in this step. The category you pick is saved on the contact when the quote is created, and you can still change it afterward from the Contacts page or directly on the order card.

Billing Address

At the bottom of Purchaser Details, there is a checkbox called Use as billing address. This is checked on by default, which means the customer's address will be used as the billing address on invoices.

If the billing address is different from the customer's home address, uncheck the box and a separate Billing Address section will appear where you can enter the billing details.

Who can edit billing details

Purchaser details, the contact category and any additional contacts are open to every role that can create or edit orders. The separate Billing Address section is financial, so it needs the Financial documents permissions on your role in Settings → Team: Create financial documents to put billing details on an order, and Edit financial documents to change them afterwards.

If your role does not carry them, MonuDesk saves everything else and tells you so: Billing details not saved, "Your role cannot edit billing details. Any other client changes were saved." The name, phone, email, address, category and additional contacts you entered are all saved on the order. Ask your company owner to switch those permissions on for your role if you need to set the billing address yourself.

When you're done, click Next at the bottom right to continue to Cemetery & Logistics.
