How to Change Many Prices at Once with the Price Book

Raise or lower many inventory, line item or cemetery fee prices at once in Settings → Price Book, check every new price in a preview, and undo a change later.

The Price Book raises or lowers many prices in one go, for example 5% more on all your granite or $25 more on every cemetery fee. You check every new price before it is saved, and you can undo the change later. Find it in Settings → Price Book, under Order Creation in the Settings menu.

Quotes and orders you already made keep their prices. Only the prices in your lists change. New quotes use the new prices.

You can also open it from the list you want to change. The Adjust prices button at the top of the Inventory page, of Settings → Custom Line Items and of Settings → Cemeteries opens the Price Book on that list.

Step 1: Which price list?

Pick the list you want to change:

  • Inventory: stones and accessories.

  • Line items: your saved line items from Settings → Custom Line Items.

  • Cemetery fees: the fees saved on your cemeteries. This covers each cemetery's fixed fee, its size-based price per unit, its minimum fee and its extra fees.

Changing inventory prices needs MonuDesk Pro, and Legacy accounts can do it too. On Basic the Inventory choice carries a Pro badge, and its steps show blurred behind Available with MonuDesk Pro.

Step 2: Which items?

  • Everything in this list (for cemetery fees, Every cemetery) changes every item. The number next to it is how many items the list has.

  • Only some categories, or names with a certain word (inventory): tick categories such as Granite or Vases, and type a word under Name contains. Tick no category to include every category. The word matches the name or the SKU. For line items this choice reads Only names with a certain word, and for cemetery fees Only cemeteries with a certain word in the name.

  • Only the ones I tick: tick the items one by one. Search the list to find an item, and use Tick all or Untick all for many at once.

Step 3: How should the prices change?

For inventory, first tick Which prices?: Retail, Cost, and Wholesale when wholesale pricing is on in Settings → Inventory. Retail is ticked to start.

Then choose how to change them, under Change them:

  • By a percent, for example 5% more on everything.

  • By an amount ($), for example $25 more on every price.

  • Retail = cost × markup (inventory only), for example cost × 3.5. A markup works the price out from the cost, so the cost itself stays as it is. An item with no cost is left alone.

For a percent or an amount, pick Raise or Lower and type the number. A price cannot drop by 100% or more.

Under Rounding, choose Keep the cents (no rounding), round to the nearest $1, $5 or $10, or round up to the next $1, $5 or $10. A line under the rule shows an example, such as what a price of $1,000 becomes.

Step 4: Which locations?

This step shows only when your company has more than one location. "Each location can have its own prices. All are ticked; untick one to leave its prices alone." The list starts with Main price (for cemetery fees, Cemeteries with no location), then each of your locations.

Preview and change the prices

  1. Click Preview changes. The Preview says how many prices on how many items will change, and lists them with the columns Item, Price, Old, New and Difference, plus Location when you have several locations. An empty price is left alone, and the preview says how many prices it leaves alone.

  2. Click the button with the count, for example Change 48 prices.

  3. Confirm with Change prices. The prices change in your list straight away.

If you change a step after the preview, the page says "You changed something. Press Preview again to see the new prices."

One change can cover up to 1,000 inventory prices, or up to 5,000 line item or cemetery fee prices. For a bigger change the preview says so. Narrow it down, for example one category at a time.

Recent price changes and Undo

Recent price changes, at the bottom of the page, lists your last 10 changes: which list, what changed, how many prices, who made the change and when.

Click Undo on a change and confirm with Undo change. The prices go back to what they were before. A price someone changed by hand since then stays as it is, and MonuDesk lists those items for you. Each change can be undone once, and it then shows Undone.

What a price change touches

  • Only your price lists change. Quotes and orders you already made keep their prices, and saving an older quote again never puts its old prices back into your lists.

  • An older quote also keeps the cemetery fees it was saved with. To give it a new fee, edit the quote, then untick the fee and tick it again.

  • For an inventory item linked to QuickBooks, a new retail price or cost goes to QuickBooks the same way as a price you change by hand. Wholesale prices stay in MonuDesk.

  • When you change the main price of a vase, photo, urn, QR code or vault, Settings → Accessories shows the new price too.

Who can use it

The Price Book shows in the Settings menu for every role that can open Custom Line Items: the same switch in the role editor covers both pages. Changing prices needs the Edit settings entries permission, and line items also need Edit quotes and orders. Without them, the page reads "Ask an owner to change prices."
