How to Set Up Your Photos and Vase Options

Configure the photo sizes, vase styles, urn catalogue, QR codes and vaults that appear when you create an order.

To set up your photo and vase options, go to Settings → Accessories, listed under Order Creation in the Settings menu. The page shows a Vases, photos, urns, QR codes and vaults card. Click Configure accessories to open the Configure Options & Enhancements popup with five categories: Photos, Vases, Urns, QR Codes and Vaults. The same editor also opens from Inventory → Configure Options. On the Settings page, Configure accessories needs the Edit settings permission.

Whatever you configure here will appear as selectable options inside the New Quote popup when you add accessories to an order.

These options and your Inventory are one catalogue. A photo, vase, urn, QR code or vault you add, edit, disable or delete here does the same to its product on the Inventory page, and a price or detail changed there comes back here, vendor cost included. See How Inventory Works for how existing items are matched up.

Photo: every row under Urns, QR Codes and Vaults starts with a photo cell. Click the dashed cell and pick a JPG, PNG, WEBP, HEIC or BMP image under 50MB; it uploads straight away and a thumbnail takes the cell's place. Click the thumbnail to replace the picture, or the × on it to remove it. Click Save Changes to keep it.

Tip: To find a variant in a long list, type in the Search variants, e.g. 9x12 box at the top right. It matches a size, shape, mode or price, so 9x12, 9 x 12 and oval 9x12 all work. Only the matching rows show, and each list's card shows how many rows match, for example 4 matches. You can also sort a list by clicking a column header, such as Price or Size.

Photos

Click Photos and three lists appear: Porcelain photo, Steel photo and Granite photo. Click a list to see its sizes. Each list keeps its own rows and prices, so a steel photo is never priced from the porcelain list. Every row has a Size, Unit, Mode, Shape, Price and Vendor Cost. To add a new one, open the list it belongs in and click + Add Variant on the right side of the screen. New rows stay at the top of the list until you click Save Changes.

Porcelain photo comes with preloaded sizes in inches. Steel photo comes with 32 sizes in inches, oval and rectangle from 7x9 to 24x30, each in B&W and Color, with starter prices you can change like any other row. If you had already added a steel size of your own, your row is kept as it was. Granite photo starts empty, ready for your own sizes.

Shape: select the shape of the photo: oval, heart, rectangle, round, cross, square/diamond, or domed.

Unit: in or cm, picked on each row. Every size shows in its own unit, for example 8" × 10" or 9cm × 12cm, and saving never converts it. Changing a row's unit relabels the size and keeps its numbers. 9x12 in and 9x12 cm are two different sizes, so one list can hold both.

Size: type or search the size you want. For example, type 2x3 with the unit on in to mean 2 inches by 3 inches. You can select an existing size from the dropdown or create a new size by typing it in and pressing the “Use (the size you entered)” button to use it. A size someone adds from inside a quote with + Add a size lands here too, in that material's list and under that shape.

Note: Type the size the way you would say it and MonuDesk tidies it up: 9.0 is saved as 9, 9,5x12 as 9.5x12, and 9x12 cm, 9 by 12 or 9X12 as 9x12. The unit, in or cm, comes from the row's Unit and shows at the right of the field.

Mode: select B&W, Color, Sepia or Hand Colored, or leave it on B&W or color. A row on B&W or color can be sold as either, at the same price.

Price: the price that will be shown when this photo size is selected inside the New Quote popup.

Vendor Cost: your cost from the vendor.

Enabled / Disabled: toggle to show or hide this option in the New Quote popup without deleting it.

Delete: click the delete button on the right side to permanently remove the option. This will not affect your existing orders that already use it.

Vases

Vases are organized into three categories: Bronze Vase, Granite Vase, and Metal Vase. All come with preloaded options. To add a new vase, click + Add Variant on the right side under the category you want.

Style: type or pick. The built-in styles are Tapered (Polish 2), Tapered (All Polish), Turned, Fluted, VA (Veteran), Square, Lawn Flush, Cross, Classic, Elegant and Custom. You can also type a name of your own (a catalog name such as Cameo, Crown or Crest) and choose Use (the name you typed) to add it. Your styles are saved as typed, and they also appear in the Style picker when someone adds a vase to an order.

Size: select an existing size from the dropdown or type in a new one to create it. You can enter any size, including custom dimensions like 2” x 2” or 22” x 22”, and decimals such as 9.5 are kept. A size someone adds from inside a quote with + Add a size lands here too, under that style.

For vases you buy by design rather than by measurement (MetalCraft, for example) pick General Size from the same dropdown. A price row is keyed on style + size + color, so it cannot be saved without a size; General Size fills that slot without inventing a measurement, and it is left exactly as typed instead of having an inch mark appended. On the quote, invoice, receipt and shop ticket, a vase saved this way is not printed with "General Size" as its size.

Price: the price shown to the customer in the New Quote popup.

Vendor Cost: your cost from the vendor.

Enabled / Disabled: toggle to show or hide this option without deleting it.

Delete: permanently remove the option. Existing orders are not affected.

Vase colors: under the Granite Vase, Bronze Vase, and Metal Vase categories you can set up colors. Granite, Bronze and Metal vases all support colors. Enable or disable individual colors, give each color its own price, and use the color search to find a finish fast. Then, when someone adds a vase to an order, they pick the color and its price fills in automatically, so there is no need to enter it as a custom vase.

Price groups. A vase row with its colors at one price is a price group. In Inventory, a price group that offers several colors waits for one decision on the Accessory matching page: one inventory item holds the stock for all of those colors, or each color is tracked as its own item. If you later change the price of one color's own product in Inventory, that color moves to a row at its new price here, joining a row that already has exactly that price and cost or starting a new one, and the other colors keep their price.

All colors, or a list you pick. Every vase variant in the Variant Matrix has its own color button. It reads All colors when the variant is open to every color its material can draw on, and 3 selected (or whatever the count is) when you have ticked a specific list. Click it to open Available Colors, headed Select which colors apply to this variant, with a Search colors... box and a Select All button.

Select All puts the variant on All colors, and so does ticking every color by hand. A variant on All colors then keeps up with your color list on its own: any color you add later under Settings → Colors, filed in a section that vase material draws from, is offered on that variant straight away, with no need to reopen it. A granite vase draws on All, Granite catalog and Granite vases only; a metal vase on All and Metal vases only; a bronze vase on All and Bronze only. A new variant starts on All colors, and a variant that already had every color ticked switches to All colors the next time you save the Accessories popup.

Colors another variant of the same style and size has already claimed are greyed out in the list, so two variants can never claim the same color at two different prices. You also cannot untick the last color: MonuDesk keeps at least one, and a variant left with none is treated as offering all of them. To take a variant out of use, switch it to Disabled instead.

In the New Quote popup, a vase whose variant is on All colors offers every color in that material's section. A variant with a specific list greys the rest out, and the tooltip on a greyed color tells you it is not configured for that style and size and points you back to your accessories settings, which are at Settings → Accessories.

Where those colors come from: the color catalog on the Settings > Colors page is sorted into five sections, and every color sits in exactly one of them. To file a color, drag its card into the section you want. Each section has its own add button (Add Color, Add Granite Color, Add Granite Vase Color, Add Metal Vase Color, Add Bronze Color), so start in the section the color belongs in. If you would rather not drag, open the color with Edit Color and use the Shown on dropdown instead.

All: offered everywhere, on monuments, bases, inventory and every kind of vase.

Granite catalog: monuments, bases, inventory and granite vases. Never offered on a metal or bronze vase.

Granite vases only: granite colors you never want to see on a monument.

Metal vases only: MetalCraft and other metal finish names.

Bronze only: bronze finish names, offered on bronze vases. A Bronze Marker shows these colors once you add any, so fill it with the bronze colors you sell and remove the starter colors you don't use.

A vase row here is only offered the sections its material can actually draw from. A granite vase draws on All, the granite catalog and granite vases only. A metal vase draws on All and metal vases only. A bronze vase draws on All and bronze only. On top of that, any color already set up on that vase variant stays available, and so does the color already saved on an order you have taken, so moving a color to another section never strips it off work you have already sold. Every color stays pickable here, but inside a quote the ones you did not tick are greyed out.

These sections govern the vase color pickers themselves, not just this screen. A color filed under Bronze only or Metal vases only is never offered as a granite vase color, neither in the New Quote wizard nor in Configure Options. The Metal vases only and Bronze only sections come stocked with common metal and bronze finish names, so a metal or bronze vase always has finishes of its own to offer, and a granite color is never offered on a metal or bronze vase.

Every company also has the built-in General Color, the stand-in for vases that are picked by design rather than color. Add your own finish names under Settings > Colors whenever your vendor list grows. A color someone adds from inside a quote lands in All. If you filed vase colors before the sections existed, they sit together on a temporary Any vase (unsorted) shelf; drag each one into the section it belongs in and the shelf disappears once it is empty.

Urns

The Urns category holds your cremation urn catalogue. To add an urn, click + Add Variant on the right side.

You do not start from an empty list. Every company comes with a ready-made catalogue of 32 urns already loaded here, sorted alphabetically. The columns are Name, Capacity (cu in), Material, Price ($), Vendor Cost ($) and Enabled, and clicking any column header sorts the list by it. The prices that come with the catalogue are retail prices. Vendor Cost is left blank for you to fill in with what you actually pay.

The same urn name can appear more than once at different capacities and prices. Traditional Brushed Bronze, for example, is in the list at 190, 70 and 40 cubic inches, and Odyssey Pet Urn at 70, 40 and 25. Other rows include Aria Wheat Urn, Eternity Pearl Urn, Rosewood Picture Frame Urn, Serenity Angel and Patriotic Flag Urn. Keepsakes and the Cremation Heart Stand carry no capacity at all, and show as None / minimal when someone picks them on an order.

Treat the catalogue as your own list. Change any price, switch a row to Disabled to keep it out of the New Quote popup, or delete a row you never sell. A default urn you delete is gone for good and does not come back.

Name: pick a common urn from the dropdown or type a name of your own and add it. Picking a preset fills in a typical capacity and material, which you can edit.

Capacity (cu in): the urn's capacity in cubic inches.

Material: what the urn is made of. Pick one or type your own.

Price: the price shown when this urn is selected in the New Quote popup.

Vendor Cost: your cost from the vendor.

Enabled / Disabled: toggle to show or hide this urn without deleting it.

Delete: permanently remove the urn from your catalogue. Existing orders are not affected.

Only urns with Enabled switched on are offered on an order. They appear in the Urn dropdown on the New Quote popup's Accessories step, listed once each by name, with a Custom name... option at the bottom for anything else.

Picking a catalogue urn then asks for its Material and Capacity, and each list only offers what this page has set up for that urn. When only one choice fits, it is filled in for you. Once the urn, material and capacity are set, the price and vendor cost come from that row, so the price on the quote always matches what is on this page.

QR Codes

The QR Codes category holds the memorial QR codes you sell. To add one, click + Add Variant.

Every company's list includes RememberTag at size 2 x 2 in, with a starter price and vendor cost. It is offered on quotes like any other QR code, and you can change its price, disable it or delete it.

Brand Name: the brand or product name of the QR code.

Size: type the size the way you sell it, such as 2x2, Small or Standard. The same brand can be listed at several sizes, each with its own price.

Price: the price shown when this QR code is picked in the New Quote popup.

Vendor Cost: your cost from the vendor.

Enabled / Disabled: toggle to show or hide this QR code without deleting it.

Delete: permanently remove the QR code. Existing orders are not affected.

On an order, a QR code is added from the QR Codes card on the New Quote popup's Accessories step: picking a brand offers the sizes set up here, and picking a size fills in its price.

Vaults

The Vaults category holds the vaults you sell. To add one, click + Add Variant.

You do not start from an empty list. Every company comes with 24 vault templates already loaded: Urn Vault, Cremation Vault, Grave Liner, Unlined Vault, Lined Vault, Single Depth Vault, Double Depth Vault and Infant Vault, in materials from polystyrene and concrete to stainless steel, copper and bronze. An Urn Vault in Polystyrene at 12 x 12 x 14 in, for example, is priced at $145. The prices are retail prices and Vendor Cost is left blank for you to fill in. The templates are switched on, so they are offered in the New Quote popup straight away; change any price, or switch a row to Disabled to keep it off your quotes.

Brand Name: the brand of the vault.

Size: the vault's size, the way you sell it.

Material: what the vault is made of.

Price: the price shown when this vault is picked in the New Quote popup.

Vendor Cost: your cost from the vendor.

Enabled / Disabled: toggle to show or hide this vault without deleting it.

Each vault here is also a product on the Vaults tab of the Inventory page, kept in step with this list like your other accessories.

On an order, a vault is added from the Vaults card on the New Quote popup's Accessories step: pick the brand, then the material, then the size.

Saving your changes

When you're done, click Save Changes at the bottom right of the popup. If you close the popup with unsaved changes, MonuDesk asks Discard Changes?: click Keep Editing to go back to your changes, or Discard Changes to close and drop all unsaved changes.

While it saves, the button counts through your changes (for example Saving 3 of 7...). If a row could not be saved, it stays marked in red with Not saved: and the reason, and everything else is saved. Click Save Changes again and MonuDesk tries that row again.

If a variant is missing a required field when you save, MonuDesk outlines each empty required field in red, tints that row, and jumps to the first flagged category and item. Any other category or item with flagged rows gets a red dot. The message tells you to fill in the fields outlined in red and save again. If a search is hiding that row, the search box clears so the row is in view.
