What's on the Receipt PDF
Understand every section of the receipt MonuDesk generates when you log a payment, including the per-payment billing snapshot and totals.

MonuDesk automatically generates a receipt each time you log a payment, including a card your team charges with Card (MonuPay) and a payment the family makes in the customer portal. A family's bank payment gets its receipt once it has cleared. Find it in the order's Files section under the Financial Document category, or generate one anytime from Document Generation → Generate Receipt.
Empty fields: If you skipped optional fields when creating the order (cemetery, color, finish, size), the PDF renders Not specified in those positions instead of leaving blank space. Fill in the missing fields from Edit Order and regenerate the PDF to update it.
Header information
The top left shows:
Order Number, Issue Date (the date this payment was received, not the date the order was created),
Payment Terms (the deposit split you selected, for example "30% down, 70% before installation"),
Sales Rep (the team member who created the order),
Timeframe (the scheduling selection from Step 2, for example "June - August"),
Cemetery, Section, and Lot / Space added from Step 2 of the "+ New quote" window.
On an order marked as customer pickup in Step 2, the header row that normally reads Cemetery reads Delivery: Customer Pickup instead, and the Section and Lot / Space lines are left off. That order has no cemetery, so there is nothing to print in those positions.
The top right shows:
From with your company name, address, and phone number (pulled from Settings → Company Profile).
Bill To with the billing name, address, phone, and email. See "Why this receipt's billing can differ" below for how this is filled in.
Your logo. If you have uploaded a logo, it prints at the top of the receipt. Upload a company-wide one in Settings → Company Profile, or give a single office its own in Settings → Office Locations, on that location's Logo field. An office's own logo wins, and an office with no logo of its own falls back to your company logo. The same field sets where the logo prints, Left, Center or Right, with a mock document preview showing where it will land; Left shifts the document title across to the right. The same logo prints on every document MonuDesk generates, the receipt included, and with no logo anywhere the receipt prints without one.
Why this receipt's billing can differ
Each receipt carries a per-payment billing snapshot. The Bill To block prefers the billing details captured on this specific payment (for example, what the customer typed when paying through the Customer Portal) and only falls back to the live client record when no snapshot exists.
That means if a customer edits their billing name or address while making one portal payment, the change appears on that one receipt only. It never updates the client record or any other payment's receipt. Each receipt reflects the billing details as they were at the moment that payment was made.
Item lines
A table showing each component of the order, with the same columns as the invoice:
Die shows the granite color, dimensions, finish, and quantity.
Base shows the same details for the base.
Vase, Porcelain, Urn, Etching, QR Code and Vault show the selected options; a vault shows its brand, size and material. Custom accessories display their description.
A stone's die and its base each get their own priced line by default, so the customer sees what each part cost. The stone row and the Base row each carry their own color, size and finish, and the two lines add up to the stone's total, the die price plus the base price, so printing them separately does not change the receipt's totals. A stone you never priced a base for stays on one line, and a stone that also has a sub-base prints as one stacked row reading Die, Base and Sub-base together.
Your company's choice is How stones are itemised in Settings → Stone Itemisation: a Standard stones dropdown, One line or Two lines, set to Two lines by default, and a Custom stones dropdown, One line, Two lines or No inventory item, set to One line by default. The format is stamped onto the quote when the quote is created, so a receipt a customer already holds keeps the layout it was printed with even if you change the setting later.
A service priced By Letter Count or By Quantity prints its letters or pieces as the quantity and the unit price as the amount, exactly as on the invoice.
Stones print first, then services, then accessories. When an order carries two or more stones or services between them, every group gets its own heading: STONE A, STONE B (just STONE when there is only one stone), each service under its own name or SERVICE A, SERVICE B (just SERVICE when there is only one), and ACCESSORIES. An order with one stone and no service, or one service and no stone, prints no group headings.
A service-only or accessory-only order prints no stone line. Accessories added to a service order (a vase, photo, etching, urn, QR code or vault) print on the receipt like any other line. An enabled urn, QR code or vault row with no name, material, size or capacity and a $0 price is left off.
Each line shows the Quantity and Amount. When a finish isn't a recognizable short code (P2, P3, P5, S2, S3, S5, or a base code such as PFT / BRP), the receipt prints its per-face breakdown instead; empty values show as Not specified.
Descriptions and notes print with the line breaks, blank lines and spacing they were typed with; a tab prints as spaces. A long item table continues on the next page under a repeated header, and the totals stay together.
Totals
Below the items, the receipt shows the totals for this specific payment:
Total Amount: the full order total.
Payment Received: the amount of the payment you just logged.
Total Received: everything paid on the order so far, across all payments.
Balance Due (bold): what's still owed after this payment.
This is the key difference from the invoice: the receipt is tied to one payment. Instead of a deposit-due schedule, it shows how much that single payment covered and what remains on the order.
Additional Details
A receipt generated without drawings prints a box headed Additional Details in place of the drawing pages. When the order carries an image or a saved cemetery location map, Generate Receipt opens a picker first: under Select images you can untick every image and still press Generate, and the dialog tells you the receipt will carry the order's inscription details instead of a drawing.
Inside the box, under a Lettering sub-header, each decedent shows a Decedent header, numbered Decedent 1, Decedent 2 and so on when there are several, with these fields:
Given Names
Surname (with " (both sides)" appended when the surname appears on both sides)
Dates (shown as birth – death)
Additional Text
Facing
Only fields that actually carry text are printed, and a decedent with nothing filled in is left out of the box. Only the inscription content prints on a customer document: the engraving styles you picked stay on the shop ticket. A free-text etching description prints in the box too, in the form Etching (style): description. When there are two or more decedents, the box lays them out in two columns.
The receipt's box carries no Finishes: line. Finishes read in the item table above, and the Finishes line in the box is an invoice, quote and contract detail. Sizes already shown in the item table are not repeated here either. With no inscription text and no etching description on the order, the whole Additional Details section is left off the receipt.
Receipt notes
If you added a note when logging the payment (the optional Receipt Note field in the Record Payment modal), it appears here, with its line breaks and spacing as typed. A long note runs on to the next page. This is specific to the individual payment, not the order's general notes.
Page footer
Every page ends with your company name in bold above Powered by MonuDesk, centered at the bottom, with page numbers in the bottom-right corner (for example 1/2, 2/2).
