How to Set Up Your Photos and Vase Options
Configure the photo sizes, vase styles and urn catalogue that appear when you create an order.

To set up your photo and vase options, go to Settings → Order Management and open Accessories. This opens a popup with three categories: Photos, Vases and Urns.
Whatever you configure here will appear as selectable options inside the New Quote popup when you add accessories to an order.
Tip: Inside both the Photos and Vases tabs you can sort the list by cost or size. This makes it easier to find a specific variant when you have many of them.
Photos
MonuDesk comes with preloaded photo options already set up. Each photo has a Shape (oval, heart, rectangle, round, cross, square/diamond, or domed), a size, and a mode. To add a new one, click + Add Variant on the right side of the screen.
Shape: select the shape of the photo: oval, heart, rectangle, round, cross, square/diamond, or domed.
Material: each photo now also has a material type, so you can record what the photo is made of. Pick the material that matches this option.
Size: type or search the size you want. For example, type 2x3 to mean 2 inches by 3 inches. You can select an existing size from the dropdown or create a new size by typing it in and pressing the “Use (the size you entered)” button to use it.
Note: You cannot type the inch symbol ("). Use numbers and the letter X only. For example, type 2x6 not 2"x6".
Mode: select Black and White, Color, or Sepia. These are the only three modes available. If you need additional modes, please contact support or submit it as feedback on our roadmap.
Price: the price that will be shown when this photo size is selected inside the New Quote popup.
Vendor Cost: your cost from the vendor. This will be used in an upcoming module where you can track costs on your orders.
Enabled / Disabled: toggle to show or hide this option in the New Quote popup without deleting it.
Delete: click the delete button on the right side to permanently remove the option. This will not affect your existing orders that already use it.
Vases
Vases are organized into three categories: Bronze Vase, Granite Vase, and Metal Vase. All come with preloaded options.To add a new vase, click + Add Variant on the right side under the category you want.
Style: type or pick. The built-in styles are Tapered (Polish 2), Tapered (All Polish), Turned, Fluted, VA (Veteran), Square, Lawn Flush, Cross, Classic, Elegant and Custom. It is no longer a closed list: type a name of your own (a catalog name such as Cameo, Crown or Crest) and choose Use (the name you typed) to add it. Your styles are saved as typed, and they also appear in the Style picker when someone adds a vase to an order.
If your vase styles used to come back wrong, this is why. A style MonuDesk did not recognise was silently rewritten when you saved: granite and metal vases became Turned, bronze became VA (Veteran). That no longer happens. Retype the names you wanted and they will stick.
Size: select an existing size from the dropdown or type in a new one to create it. You can enter any size, including custom dimensions like 2” x 2” or 22” x 22”.
For vases you buy by design rather than by measurement (MetalCraft, for example) pick General Size from the same dropdown. A price row is keyed on style + size + color, so it cannot be saved without a size; General Size fills that slot without inventing a measurement, and it is left exactly as typed instead of having an inch mark appended. On the quote, invoice, receipt and shop ticket, a vase saved this way is not printed with "General Size" as its size.
Price: the price shown to the customer in the New Quote popup.
Vendor Cost: your cost from the vendor.
Enabled / Disabled: toggle to show or hide this option without deleting it.
Delete: permanently remove the option. Existing orders are not affected.
Vase colors: under the Granite Vase, Bronze Vase, and Metal Vase categories you can set up colors. Previously only granite vases supported this; Bronze and Metal vases now support colors too. Enable or disable individual colors, give each color its own price, and use the color search to find a finish fast. Then, when someone adds a vase to an order, they pick the color and its price fills in automatically, so there is no need to enter it as a custom vase.
Where those colors come from: the color catalog on the Settings > Colors page is sorted into five sections, and every color sits in exactly one of them. To file a color, drag its card into the section you want. Each section has its own add button (Add Color, Add Granite Color, Add Granite Vase Color, Add Metal Vase Color, Add Bronze Color), so start in the section the color belongs in. If you would rather not drag, open the color with Edit Color and use the Shown on dropdown instead.
All: offered everywhere, on monuments, bases, inventory and every kind of vase.
Granite catalog: monuments, bases, inventory and granite vases. Never offered on a metal or bronze vase.
Granite vases only: granite colors you never want to see on a monument.
Metal vases only: MetalCraft and other metal finish names.
Bronze only: bronze finish names.
A vase row here is only offered the sections its material can actually draw from. A granite vase draws on All, the granite catalog and granite vases only. A metal vase draws on All and metal vases only. A bronze vase draws on All and bronze only. On top of that, any color already set up on that vase variant stays available, and so does the color already saved on an order you have taken, so moving a color to another section never strips it off work you have already sold. Every color stays pickable here, but inside a quote the ones you did not tick are greyed out.
These sections now govern the vase color pickers themselves, not just this screen. A color filed under Bronze only or Metal vases only is no longer offered as a granite vase color anywhere, neither in the New Quote wizard nor in Configure Options. The Metal vases only and Bronze only sections come stocked with common metal and bronze finish names, so a metal or bronze vase always has finishes of its own to offer, and a granite color is never offered on a metal or bronze vase.
Every company also has the built-in General Color, the stand-in for vases that are picked by design rather than color. Add your own finish names under Settings > Colors whenever your vendor list grows. A color someone adds from inside a quote lands in All. If you filed vase colors before the sections existed, they sit together on a temporary Any vase (unsorted) shelf; drag each one into the section it belongs in and the shelf disappears once it is empty.
Urns
The Urns category holds your cremation urn catalogue. To add an urn, click + Add Variant on the right side.
Name: pick a common urn from the dropdown or type a name of your own and add it. Picking a preset fills in a typical capacity and material, which you can edit.
Capacity (cu in): the urn's capacity in cubic inches.
Material: what the urn is made of. Pick one or type your own.
Price: the price shown when this urn is selected in the New Quote popup.
Vendor Cost: your cost from the vendor.
Enabled / Disabled: toggle to show or hide this urn without deleting it.
Delete: permanently remove the urn from your catalogue. Existing orders are not affected.
Urns saved here appear under Your catalogue in the urn picker in the New Quote popup's Accessories step, and picking one fills in its capacity, material and price automatically.
Saving your changes
When you're done, click Save Changes at the bottom right of the popup. If you click off the popup without saving, your changes will be dismissed.
