Using MonuDesk on Your Phone

The bottom bar, orders, scanning documents, notifications, and adding MonuDesk to your phone's home screen

MonuDesk has a phone layout. Open MonuDesk in your phone's browser and it switches to it on its own: a bottom bar for moving around, full-screen order pages, bottom sheets you can reach with your thumb, and a document scanner that uses your phone's camera. Nothing needs turning on. Any screen narrower than a small tablet gets the phone layout, and a tablet or computer keeps the full app.

On an iPhone you can also download the MonuDesk app from the App Store. Learn more: The MonuDesk iPhone App

Add MonuDesk to your home screen

Put MonuDesk on your phone's home screen and it opens full screen like an app, without the browser's address bar.

  • iPhone: open MonuDesk in Safari, tap the Share button, then Add to Home Screen.

  • Android: open MonuDesk in Chrome, tap the ⋮ menu, then Add to Home screen (some phones call it Install app).

Tick Remember me when you sign in, so MonuDesk keeps you signed in between visits.

The bottom bar

A bar along the bottom of the screen holds the four places you go most:

  • Dashboard: your tasks, reminders, installs and numbers.

  • Orders: your order board.

  • Scanner: photograph paperwork straight into an order.

  • More: Contacts and Settings.

The search button beside the bar opens order search in a sheet, so you can find an order from any screen. Your notification bell sits at the top of the screen.

The + at the top of the Dashboard and Orders screens starts a New quote.

A company with more than one location gets a location chip at the top of the Dashboard (above the cards) and on Orders (next to search). Tap it to open Choose location and pick All Locations ("View combined data") or one location. It works like the location switcher in the top bar on a computer.

On a phone, Settings leaves out Team, Billing, Order Management, Stages, Card Display, Order Alerts, To-Dos, Taxes, Stone Itemisation, Accessories and Integrations, so the Workflow & Pipeline heading does not show. Open those on a computer or tablet.

Every role has Settings under More. It opens as a full page with a back arrow at the top left: the first tap back returns to the Settings list, the next one to More. A role that cannot open company settings, such as Field or Shop with their standard permissions, goes straight to Profile, with your own details, phone notifications and auto sign-out.

To sign out on a phone, open More → Settings → Profile, scroll to the bottom and tap Log out.

The dashboard on a phone

Each dashboard card shows its top five items, except Urgent Installs, which lists every install it holds. View all opens the full list in a drawer that slides up from the bottom, with a search box. Swipe it down or tap outside it to close it. This works for your tasks, assignments, reminders, today's installs and drawings awaiting approval. Today's Installs sits below Urgent Installs. The Business Intelligence numbers fit on one row.

The order board on a phone

The board shows your stages as columns you swipe between. The header stays in place and only the columns scroll.

  • Move an order: press and hold a card until it lifts, then drag it to another stage.

  • Tick off a to-do: the check marks on a card are always visible, so you can complete a task with one tap. Tap a task chip to assign it to a teammate.

  • Sort a column or filter by team member: both open as a drawer from the bottom.

An order on a phone

Tapping a card opens the order full-screen. The header's large line is Order #…, with the client name shown the way Settings → Card Display is set. It also shows the order's stage right after the title, a line with when it started and who owns it, and a round avatar for the assignee. On an order with no owner the avatar is a dashed circle: tap it to assign someone. In a company with more than one location, the header line also shows the order's location next to a pin icon. If you can edit the order, tap the location, or use Change location in the More menu, to move it to another location.

Tabs across the top take you through the order's sections. Documents, the customer portal, the stage, the assignee, recording a payment, file and note menus and confirmations all open as bottom sheets.

  • Call and Text buttons dial or message the customer, the active contact, the billing contact, the plot owner or the cemetery straight from your phone.

  • Portal opens the customer portal menu, where Send Portal Link sends the family their portal link by email, by text or both. Payment Link sends them a link to pay by card through MonuPay.

  • Scheduling shows what is already booked. Use Install scheduling or Production scheduling to book something, and the pencil on a booked item to change it. The date picker opens as its own sheet.

  • Drawings: tap a front or back drawing placeholder, or Replace, to pick a photo or file.

  • Purchase orders: tap a purchase order to open its PDF.

  • Notes: the note box scrolls back into view when you close the keyboard, and Remind me about this opens as a bottom sheet.

  • Activity Timeline: the filters All, Payments and Messages (the Communication filter) sit in even columns. The pencil and trash icons beside a recorded payment or a manual timeline event are always visible, so you can edit or delete it with a tap.

Team-member pickers open as drawers and never pop the keyboard up on their own. Tap the search box when you want to type.

Smart Prefill, To-Do Configuration, the personal-tasks scope picker, the Drawings Awaiting Approval step filter and the custom line item picker open as bottom drawers too. Tap the grey backdrop to close a drawer.

Scanning a document

Use the Scanner to turn paper, such as a signed contract, a cemetery permit or a proof, into a file on the order.

  1. Tap Scanner, then Take photo, or Choose from photos to use a picture already on your phone.

  2. In Adjust corners, MonuDesk finds the edges of the page. If they are off, drag the corners onto the page, then tap Crop. You can also make a black and white scan.

  3. Tap Add page for each further page, then Continue with N pages.

  4. Under Which order do these pages belong to?, search for the order ("Search order #, customer, decedent, cemetery") and pick it.

  5. Pick a document type for each page, or tap Same type for all pages. Each page shows whether it is Visible to customer or Internal.

  6. Tap Upload N pages. The pages land in the order's Notes & Files, and the finished screen can ask whether the customer should be told, with Notify customer and No thanks.

Catching up on notifications

On a phone, the bell opens Catch up: your unread notifications one at a time, each with its order's details. Swipe a notification one way to mark it as read, or the other way to keep it unread for later. A counter shows how many are left.

New website leads arrive in the bell too. See Website Leads: Get Quotes from Your Website.

A reminder you open from a notification is pinned to the top of the Reminders list.

New quotes and edits

New Quote and Edit Order open as a full-screen sheet with the list of steps and a footer that stays above the keyboard, so you can build or change a quote from the cemetery or the shop floor.
