What Each Plan Includes: Basic, Pro, Max and Legacy
See exactly which MonuDesk pages your plan opens, what the Pro star and the Pro pitch card mean, and how to move between tiers.

MonuDesk has four tiers: Basic, Legacy, Pro and MonuDesk Max. Your tier decides which pages in the left sidebar you can work in, and it is the reason a page can open with a Pro pitch card sitting over it.
This article answers what you can open. For how you are charged, seats, locations, failed payments and cancelling, see How Billing and Subscriptions Work.
How to tell which plan you are on
Look at the top of the left sidebar, next to the MonuDesk wordmark. A small pill tells you your tier:
A grey Basic pill.
A blue Pro pill.
A purple Max pill on MonuDesk Max, and while a Max pilot runs.
An Earlybird badge — that is the Legacy plan, closed to new signups.
You can also open Settings → Billing, where the blue Current plan card names your tier and shows your renewal amount.
If a small amber number sits beside Settings at the bottom of the sidebar, you are inside a Pro trial and that number is the days you have left. Hover it and it reads "N days left in your Pro trial. Click to manage billing." While the trial runs, the pill at the top reads Pro, because that is what is unlocked.
The seven Pro pages
Seven sidebar destinations are Pro, and so is Gallery (below the list). Business Intelligence on the Dashboard is Pro as well, and MonuBrain on the Dashboard needs MonuDesk Max. So does Website Leads, the website leads report, which the sidebar lists only on Max.
Inventory
Conversations
Order Summary
Open Balances
Tax Report
Installations
PO Tracking
Order Summary is Pro including its Print button, so the printed stage sheet comes with the plan or with an active Pro trial.
Gallery (the Product Gallery) is Pro too. It files every photo and drawing uploaded to your orders into folders by monument type or service type, and sits in the sidebar with a blue New pill. Companies without Pro see the Pro pitch on the page.
QuickBooks Online (QBO) is gated separately. QBO is available on Pro and on grandfathered Legacy, but not on Basic. On Basic, the QuickBooks Online section of Settings → Integrations shows the real settings blurred behind Available with MonuDesk Pro, with Start free trial (or Upgrade to Pro) and Learn more. MonuPay, offered to US and Canadian companies, sits on the same page and is not plan-gated.
What each tier opens
Basic is the standard paid tier. A new company picks Basic or Pro on the plan screen at the end of signup. It opens everything except the seven Pro pages, Gallery and QuickBooks. Those seven still show in the sidebar with a small blue star.
Legacy is the grandfathered early plan, closed to new signups, and it keeps its original rate. Access is Basic-level plus QuickBooks — nothing more. Legacy is not Pro, and it is upsold to Pro exactly like Basic.
Pro opens everything in Basic plus all seven pages, Gallery, Business Intelligence and QuickBooks.
MonuDesk Max opens everything in Pro, plus these:
Website Leads: a lead form and MonuStudio, the monument designer, on your own website. Every request a family sends lands on your board as a quote. Set it up in Settings → Website Leads.
Google Ads: connect your Google Ads account on the Google Ads card in Settings → Integrations. MonuDesk imports your campaign costs every night, read only, and can send your confirmed orders back to Google Ads.
MonuBrain on the Dashboard, which answers questions about your orders, quotes and payments in plain words. Settings → AI is where you give it access to your data.
The website leads report: Website Leads in the sidebar, and the Website leads view of the Dashboard's Business Intelligence card, show your website leads, what became of them, and with Google Ads connected the cost per lead.
Gallery on your website: the photos you pick in the Gallery with Show on website show in a gallery on your own website. Settings → Website Gallery holds the website key and photo feed your web developer connects it with. See How to Use the Product Gallery.
On other plans these show locked under Available with MonuDesk Max, with Upgrade to Max and Learn more. The MonuDesk Max card in Settings → Billing lists everything Max includes, and its See if Max is worth it works out how many more orders a month cover the difference to Max at your average order value. See What's Included in MonuDesk Max.
What you see when you open a Pro page
Opening Order Summary, Open Balances, Tax Report, Installations or Inventory takes you straight to the report or the table. There is nothing to read and tick through first, on any plan.
On Pro the page is simply the page, with nothing over it. The first time you open one of the reports, its what's-new popup appears once.
On Basic and Legacy the real page still loads, with its top rows in view, and a card sits over the middle of it:
A PRO FEATURE pill, the feature's name and its one-line summary: Order Summary "Every dollar in the pipeline, by stage.", Open Balances "Get paid before it goes cold.", Tax Report "File without the spreadsheet weekend.", Installations "Never miss a stone to install.", Inventory "Your stock, counted and priced."
Three benefits of that one feature.
A price row reading $299/month with Start 7-day free trial next to Upgrade to Pro. Upgrade to Pro opens Settings → Billing and highlights the MonuDesk Pro card. Once your company has used its Pro trial, only Upgrade to Pro shows.
Pro features on the Basic plan
On Basic, the page under the PRO FEATURE card is a look-only preview: working with the report, Export CSV, Print and the install calendar come with Pro. The card's own buttons work as usual.
A few Pro features sit inside screens every plan uses. On Basic those screens show the Basic tools, and on Pro or during a Pro trial the Pro tools are there as well:
Inventory in quotes and orders: the In inventory results in the stone search, the Linked from inventory panel on an order, and Pull stone from inventory on the stone to-do.
QuickBooks: its status under each office location and its options across Settings.
Conversations: the Message Client button on an order, and the email signature and templates in Settings → Conversations.
The install calendar, including the Want to see this on a calendar? hint on an order.
In Settings, the Inventory and Conversations pages and the QuickBooks section of Integrations show the real page blurred on Basic, behind Available with MonuDesk Pro, with Start free trial (or Upgrade to Pro) and Learn more. A part that needs MonuDesk Max shows Available with MonuDesk Max instead.
Inventory keeps building from your orders in the background on Basic too. When you move to Pro, the stones from your past orders are already in Inventory and linked to their orders, with nothing to redo.
The Conversations trap
This is the one that catches people, so it is worth stating flatly.
Conversations needs Pro, or an active 7-day Pro trial. Grandfathered Legacy does not include it, even though Legacy includes QuickBooks.
On Basic and Legacy you still get a real preview. You can connect a mailbox and your actual inbox loads, but you can only open the two most recent threads. The rest of the list stays visible and disabled.
Every write action — replying, composing, archiving, trashing, tagging, bulk actions — opens a "This is a Pro feature" dialog instead of doing the thing.
Mailbox allowance differs too: Basic and Legacy get one connected mailbox; Pro gets three per active office.
If Conversations is missing from your sidebar altogether, that is not your plan. That is the view conversations permission on your role — ask your company owner.

What Basic includes
This is the checklist MonuDesk shows in the app:
Orders and the full quote builder
Contacts, companies, and cemeteries
Invoices, contracts, and purchase order PDFs
Dashboard with team to-dos and drawing approvals
MonuPay payments with receipts on the order
Your whole team, with roles and permissions
Team size is not a plan limit. Every tier can invite the whole shop; extra seats are billed per person.
What the pills and locks mean
A small blue star at the end of a sidebar item means the page is Pro and you are on Basic or Legacy. Click the star and a MonuDesk Pro panel opens for that one feature. It is an explanation, not an error.
A blue "New" pill is cosmetic. It marks a recently shipped page and has no effect on access. PO Tracking carries the New pill in place of the star, and it is a Pro page like the other six. Gallery carries the New pill too, and it is also a Pro page.
A small "Pro" chip next to an entry in Settings marks a setting that needs the Pro plan.
A small "Max" chip next to Website Leads, Website Gallery and AI in the Settings menu marks a page that needs MonuDesk Max. Companies below Max see it.
A purple "Max" badge, such as the one on the Google Ads card in Settings → Integrations, marks a MonuDesk Max feature.
A small green "qb" mark next to a setting marks an option that only applies to QuickBooks. Hover it for a tooltip explaining it.
An orange lock is what a B2B free partner account sees in place of the star. Clicking that item opens Settings → Billing, where the upgrade is to Basic.
Prices
Basic: $149 per month, or $1,548 per year, which works out at $129 per month.
Pro: $299 per month, or $2,990 per year, which works out at $249 per month.
MonuDesk Max: $599 per month, or $5,990 per year, which works out at $499 per month.
Legacy: closed to new signups. If you are on it, you keep the rate you started on.
Extra seats: every plan, Max included, comes with one seat for the owner; each additional team member is $10 per month, or $100 per year.
Extra offices: your first location is included; each additional office is $100 per month, or $1,000 per year.
How to change tier
Everything happens in Settings → Billing, on the blue Pro card at the top of the page.
Already paying (Basic or Legacy): the main button reads Upgrade to Pro, with "Prorated to your current billing cycle" under it. It asks Upgrade to Pro now? first. Confirm and the plan switches immediately with the prorated charge taken now, your seats and billing date unchanged; you get a "You're on Pro" confirmation and the Pro pages open without a reload. Start 7-day free trial sits next to it until your company has used its trial; see below for how that trial ends.
Not on a paid plan yet: the main button reads Subscribe to Pro, with Start 7-day free trial beside it where your company is eligible, under the line "Subscribe now, or try Pro free for 7 days. Card required, cancel anytime.". Either one takes you to the creem.io checkout.
The card carries a Monthly / Annual toggle. Annual is marked 2 mo free and prices Pro at $249/mo with "$2,990 billed yearly · per company" beneath it. If your company already pays for a plan, the interval is fixed to match it and the card says which: "Billed monthly, matching your current plan." or "Billed annually, matching your current plan."
Moving to MonuDesk Max. Click Upgrade to Max on the MonuDesk Max card under Available plans. If you already pay for a plan and it is active, a short checkout shows the credit for the unused part of your current plan, the exact amount Due today and your next renewal. Its button, Upgrade to Max · Pay $X, charges today's amount to the card you already pay with, and Max is unlocked for your team straight away. Without a paid plan, Upgrade to Max takes you to the creem.io checkout. During the Pro trial, after a failed payment or with a cancelled plan that is still paid for, Upgrade to Max shows a red message that names the step to take first.
Moving down from Max. On Max, the Pro card reads Downgrade to Pro and the Basic card Downgrade to Basic. You keep Max until the end of the period you have already paid for, your next renewal is billed at the plan you picked, and Keep Max cancels the move until then.
About the 7-day Pro trial. Each company gets one, ever. Once you have used it the button stops appearing. Start 7-day free trial sits next to Upgrade to Pro on the PRO FEATURE card over a Pro page, in the Pro popover in the sidebar and on the Pro card in Settings → Billing. The Available with MonuDesk Pro cards on the dashboard and on locked Settings pages offer it as Start free trial. How it ends depends on your plan:
If you already pay for your plan: the trial is free, and a confirmation first names the date your subscription switches to Pro and the Pro price for your team ("Free for 7 days, then Pro continues on the card you already pay with"). On that date Pro continues automatically on that card, and we email a reminder 2 days before. To keep your current plan, click Stay on Basic in Settings → Billing before the trial ends: nothing is charged and Pro locks again when the trial ends.
Without a paid plan: it is a card trial ("Free for 7 days, then billed on creem.io · cancel anytime"). It converts to a paid Pro subscription on day 7 and there is no grace period. Cancel before then from the Creem portal if you do not want to continue.
Downgrading from Pro is not the same as cancelling. Drop to Basic and you keep Pro through the end of the period you already paid for, then the seven pages go back to showing the Pro pitch and your next renewal is billed at the Basic price. Your data stays exactly where it is — orders, inventory counts, email threads — and comes straight back if you go Pro again. Cancelling ends access to MonuDesk altogether.
