A Tour of the Settings Menu

A map of every Settings section plus a where-do-I-set-this lookup, so you stop hunting for the screen you need.

Last updated About 3 hours ago

Settings is pinned at the very bottom of the left sidebar. Click it and Settings opens as a panel over whatever you were doing: the list of sections runs down the left, grouped under headings such as Account and Order Creation, the section you pick opens on the right, and the X at the top right closes it and puts you back where you were. There is also a Settings link in the profile menu at the top right of the app, which lands you on Company Profile.

The list is long, so use the Search settings... box above the list. Type a word such as vendor, tax or language and it lists the matching sections and the settings inside them, A to Z, each with its section name underneath: Enable Order Deadline Alerts, for example, shows under Order Alerts. Click one and its section opens at that setting. Everyday words work too: promise date finds Order Deadline Alerts, and stage colors finds Edit Workflow Stages. It only lists what your role can open. This article is the other half of that: one line per section telling you what you come here for, then a lookup list at the end for the questions people actually ask.

Two things that change what you see. You only see the sections your role is allowed to open, so a shorter list is normal for a non-owner. And on a phone, eleven sections are left out: Team, Billing, Order Management, Stages, Card Display, Order Alerts, To-Dos, Taxes, Stone Itemisation, Accessories and Integrations. A heading only shows when you can open a page under it, so the Workflow & Pipeline heading is missing on a phone. On a phone, Settings opens as a full page: you get the section list first, tap one to open it, and use the back arrow at the top to return to the list.

The sections, in menu order

The menu is grouped under headings, and every page sits under one of them. They are listed here in menu order, heading by heading. A heading only shows when you can open at least one page under it.

Account

1. Profile. Your own personal preferences, and the one section that is about you rather than the company. The page is titled Profile Settings. Profile Information holds your photo, first and last name, email and phone: click the photo to upload a new one, and Save changes saves your name and phone. Every team member can save their own, whatever their role. Theme sets how MonuDesk looks for you: White, Dark Blue Steel or Way too Dark. It is saved to your account, so it follows you to every device you sign in on, and each team member picks their own. Under the three looks, the High contrast switch gives darker text and underlined links. It is remembered on this device only, and it comes on by itself when your device's settings ask for more contrast. Auto Sign-out signs you out after a period of inactivity, the way banking and accounting tools do, and is off by default: the Sign me out dropdown starts on Never (stay signed in), and choosing After 1 day signs you out after a day with no clicking, typing or scrolling anywhere in MonuDesk. The choice is saved on your own account, so it applies wherever you sign in and changes nothing for anyone else on your team. Notifications sets what reaches your phone from the MonuDesk app: Push notifications on or off, Quiet hours, and which kinds of alert to push. The bell inside MonuDesk always keeps everything. Under Test on your phone, Send a test notification sends a test push to every phone registered to you and tells you the result, or which step failed. Every role can open Profile, Field and Shop included. On a phone, Profile ends with a Log out button.

2. Company Profile. Your business details as they appear on invoices, quotes and emails: company name, contact name, address, country, phone, email, your Website (shown to families in the customer portal as a Visit Website link) and your sales tax percentage (the fallback rate, greyed out while Automatic Tax Calculation is on). It also holds your company logo, a Left / Center / Right control for where that logo prints on a document, a Size on documents slider for how large it prints (the preview updates as you drag), and Remove background, which strips a solid background off the logo. It also holds Order & Quote Numbering, where you set the prefix and the next number for orders and quotes (and a location prefix once you run more than one office, giving numbers like L1-ORD-001), with a preview of the next number. Outside Germany, Austria and Switzerland an invoice is numbered after its order: the order number plus a counter that goes up with each newly generated invoice, such as ORD-53-1, then ORD-53-2. A company in Germany, Austria or Switzerland also has an Invoice prefix row here, and its invoices run in one gapless series for the whole company, such as RE-00001. Country offers the United States, Canada, Germany, Austria and Switzerland, and the address search suggests addresses in the country you pick. The country also sets the local rules: a company in Germany, Austria or Switzerland gets German contract and quote terms, finish presets spelled out in words and the Add German stone list button in Colors, whatever language its screens use. The Language row sets the Company language, English or Deutsch: everyone at your company sees MonuDesk in it, including their emails and notifications, and follows a change on their next page load. The customer portal your families see follows it too. Deutsch also switches sizes to centimetres. Only people who can edit settings can change it.

3. Team. Invite people, remove them, and set what each one can see and do. Roles are built here too, with Role Presets for the common shapes so you are not starting from a blank permission list. A preset's Visible stages can limit the people with that role to orders in some stages only. With B2B partner connections, each member also has a Can see prices switch: off, it hides every price from that person in the B2B portal.

4. Billing. Your MonuDesk subscription: the plan you are on and the plans you can move to (Basic, Pro and MonuDesk Max), your team seats, your paid locations, and Manage billing, which opens the Creem portal to change your card, read past invoices or cancel. This is what your shop pays MonuDesk, not how you take money from families.

5. Office Locations. Your shop locations, their addresses, each location's own Default tax rate, and each location's own Logo. The field previews the logo you uploaded, you swap it by clicking the thumbnail, and you can remove it at any time, and a Left / Center / Right control sets where it prints, alongside its own Size on documents slider. The logo prints on every document MonuDesk generates, and an office's own logo is used ahead of the company logo from Company Profile. Remove background strips a solid background, for logos that arrive sitting inside a solid white box. Add a second location here, and it becomes selectable in the office switcher in the top bar. Extra locations are billed, see Billing. Once you run more than one location, the owner also finds the Staff can open orders from other locations switch here, which is on by default.

Order Creation

6. Custom Line Items. Reusable line items with a name and a price, so they auto-fill when you add them to a quote. On a multi-office account you can give each one a different price per location. Editing one here does not change orders you have already written.

7. Price Book. Raise or lower many prices at once. Pick the price list (Inventory, Line items or Cemetery fees), which items, which prices, how they change (By a percent, By an amount or Retail = cost × markup, rounded if you like) and which locations. Preview changes shows every new price before you confirm, and Recent price changes lists past changes with Undo. Quotes and orders you already made keep their prices. Changing inventory prices needs Pro, so on Basic the Inventory choice carries a Pro chip. The Adjust prices button on Custom Line Items and Cemeteries opens it on that list.

8. Service Types. The service types your team picks from when creating a service order - lettering, cleaning, resetting, cemetery preservation, whatever you sell. It is its own page under Order Creation, not a page inside Order Management. Deactivating a type hides it from new orders; existing orders keep the name they were written with.

9. Monument Types. Your own monument types, for the stones you sell that the built-in list does not cover. Your monument types are listed first, then the Built-in types, which are read-only and marked Built-in, with a search box to find one. Add Monument Type asks for a Name, what it Looks like (the built-in shape it resembles, which sets its automatic thumbnail and whether New Quote offers a base), Base on by default, and a Thumbnail, automatic from the shape or your own image. Each of your types has Edit and Delete: deleting hides the type from lists, and orders already using it keep it. This is where custom monument types are created, and New Quote shows them with their thumbnail. Reorder sets the order New Quote lists the monument types in, for the whole company: drag them into place and click Save order, or Reset to default. New custom types go last.

10. Colors. The colors your team picks from, sorted into five groups: All, Granite catalog, Granite vases only, Metal vases only and Bronze only. A color sits in one group, and you file it by dragging its card from one group into another. All is offered everywhere. Granite catalog covers monuments, bases, inventory and granite vases, and is never offered on a metal or bronze vase. The three vase groups keep finish names such as MetalCraft off your granite monuments. Bronze only also feeds the Bronze Marker: once it has colors, a Bronze Marker offers those instead of the granite list. Each group has its own add button, so a new color starts in the right place. The Metal vases only and Bronze only groups come already stocked with common finish names. Fill Bronze only with the bronze colors you sell, for example Government Brown, Vet Brown, Brown, Dark Brown, Light Brown and Black, and remove the starter colors you don't use. If some of your colors were filed before these groups existed you will also see a temporary Any vase (unsorted) group; drag each color out of it and the group disappears once it is empty. If you would rather not drag, you can still change a color's group from the Shown on dropdown inside Edit Color. Add, rename, upload a photo of the granite, search, or remove. Anything you remove drops into Hidden colors with a Restore button, and existing orders keep their color either way. It is the same list New Quote shows under Materials & Color, and edits sync both ways, and a color you add from inside a quote lands in All, or in Bronze only when you add it on a Bronze Marker.

11. Accessories. Your photo, vase, cremation urn, QR code and vault options, with their prices. The page holds one card, Vases, photos, urns, QR codes and vaults, and its Configure accessories button opens the editor where you add, rename, reprice or hide them. Urn, QR code and vault options can each carry a picture. These options are kept in step with the matching products in Inventory.

12. MonuStudio. How your own team designs in MonuStudio, the 3D monument designer, and what your production needs it to know. Your team opens MonuStudio with Create Quote with MonuStudio in the New Quote menu, or with Design in 3D inside New Quote. What MonuStudio lets your team change picks Simple (recommended) or Full studio, where your team starts and which shapes it can pick, and, with Simple, whether granite colours, font, emblems and the vase can be changed. The stones your team sees first is your team's own row of stones: pick a sold stone or design one, then reorder or remove them. In MonuStudio they show as Your shop's stones, above Stones you have sold, and never on your website. Limits for your team sets text only on small flat markers, the most lettering lines and the most characters per line. Out of the box your team gets the full studio with the limits at their highest (20 lines, 200 characters per line), so nobody is limited. Sandblast tolerances holds the thinnest line your stencil cutter holds, and Your fonts holds the font files your shop licenses, with Fonts your team can pick. Website Leads sets the same kind of choices for families on your website.

Workflow & Pipeline

13. Order Management. One setting, on the Order management settings card: Count active orders only, your own choice of whether the order count, total and outstanding amounts at the top of the order board leave out orders in the Quote and Completed columns. It changes only your own view. Stages, Card Display, Order Alerts, To-Dos, Taxes, Stone Itemisation and Accessories each have a page of their own in the menu.

14. Stages. Your pipeline columns, their names, their order and their colors, including stages of your own between Quote and Confirmed Order, such as Contacted or Quote sent. The page shows Your pipeline, the stages in board order, and Edit stages opens the stage editor. In the editor, each stage also carries a pill reading Customer-facing or Internal only: that is the switch that decides whether the stage appears on your customer's portal progress timeline, and you can add portal subtext to it too. This is where the family's progress timeline is shaped.

15. Card Display. What your team sees on each order card. Show decedent names as, at the top of the page, sets the order a decedent's name reads in, such as Smith, John.

16. Order Alerts. What the board flags, and when, in three cards on one page. Order Deadline Alerts turns order cards yellow or red as the promise date gets close. Quote Price Guarantee flags aging quotes once they pass the price-guarantee window. Drawing Reminders flags confirmed orders that still have no drawing a set number of days after they were confirmed, on the board and with a notification. It is off until you switch it on. See How Drawing Reminders Work.

17. To-Dos. Enable, disable and customize the task badges on orders. This is where to-dos live. A to-do you switch off stays in the list, greyed, so you can switch it back on. A to-do you add yourself starts on new confirmed orders only while its Enable on every new order switch is on, and that switch starts off.

Inventory & Vendors

18. Inventory. How inventory behaves rather than what is in it. Turn on wholesale pricing to track separate wholesale and retail prices for business customers, and control whether items are automatically added to inventory from your orders. Inventory is a Pro feature, so on Basic it carries a Pro chip in the menu and this section shows the page blurred behind Available with MonuDesk Pro, with Start free trial (or Upgrade to Pro) and Learn more.

19. Vendors. The suppliers you buy from, their contact details, and the shipping timeframe you expect from each one. These are the vendors that appear in the picker when you raise a purchase order.

Cemeteries & Tax Zones

20. Cemeteries. The cemeteries you install in: contacts (the primary contact plus additional contacts such as the sexton), their rules and fees, and the installation timeframe each one needs. Filling these in is what makes cemetery fees calculate on a quote instead of being typed by hand. Each cemetery also carries a Cemetery Link (Optional) field for any web address that helps your crew, and a Cemetery Files card for reference documents, photos and scanned maps. When a partner company asks for a cemetery they could not find in your list, the ask waits at the top of this section under Cemetery Requests, where you approve it or decline it.

21. Counties/Zones. Sales tax rates by county, and the zones you route by. If you plan installs by area rather than by county line, name your zones here and the Installations page will group by them.

22. Taxes. Automatic Tax Calculation: new quotes take the sales tax rate for the purchaser's ZIP code instead of a rate typed by hand. Quotes and orders you already saved keep their rate. A company in Germany, Austria or Switzerland also finds How totals are shown on the same card: net or gross (VAT included), set separately for private and business customers. Every other company uses net automatically and does not see the setting.

Customer Experience

23. Customer Portal. What reaches the family, set once for the company. Send the portal link automatically sets what the portal switch on every new order starts as: on, the customer receives the portal link once the order is created; off, creating an order sends the customer nothing, no email and no text, until you turn it on for that order. You can override it on any new order on the Review & Create step, and send the link by hand at any time. Only create the contract once the order is confirmed keeps a quote from producing a contract, so the customer sees only the quote until you confirm the order; you can still generate a contract by hand whenever you need one. The Payments, Design Proofs, Timeline and Promise date switches decide which parts of the portal families see, and each one saves as soon as you flip it. Where MonuPay is offered, Payments stays locked until your MonuPay account is approved. Promise date starts off: switch it on and families see when their stone is expected, on every order that has a promise date. The Stage text in the customer portal card has an Open Stages button that opens the stage editor, where you set the wording families read for each stage.

24. Website Leads. Put a lead form, MonuStudio (the monument designer) and a Stone catalogue of your chosen stones on your own website, so every request a family sends lands on your board as a quote. Website Leads is part of MonuDesk Max; on other plans it carries a Max chip in the menu and the page shows what Max adds, with Upgrade to Max. See Website Leads: Get Quotes from Your Website.

25. Website Gallery. The photos you show on your own website, and what your web developer needs to put them there. Photos on your website shows how many photos are on your website, with an Open Gallery button to change which ones. Below it, the For your web developer box holds your website key and photo feed, the same box as Website gallery in the Gallery. Website Gallery is part of MonuDesk Max; on other plans it carries a Max chip in the menu and the page shows blurred behind Available with MonuDesk Max. It opens for the same roles as Website Leads. See How to Use the Product Gallery.

26. Conversations. Company-wide settings for the built-in inbox, in two rows: Email Signature (automatically added to the end of emails you send) and Email Templates (shared replies your whole team can send in one click). Conversations is a Pro feature, so on Basic it carries a Pro chip in the menu and this section shows the page blurred behind Available with MonuDesk Pro.

27. Google reviews. Google review requests after every completed order. When an order reaches Completed, the customer gets one short email from your name asking for a Google review, once per order. Switch on Send review requests automatically and add your Google review link: in your Google Business Profile, click Ask for reviews and copy the link. With more than one location, each one can have its own link under Link per location. Customers without an email address and cancelled orders are skipped. Google reviews is part of MonuDesk Max; on other plans it carries a Max chip in the menu and the page shows a blurred sample behind Available with MonuDesk Max.

Partners

28. Partners. The partner companies you work with. Invite a partner here, and the company name you type pre-fills their onboarding when they redeem the invite (they can change it). An order a partner sends you, or a dealer sends you with Send to Supplier, lands in your Quote stage as a price request with the full spec, for you to price and send back. With two or more office locations, each partner also has a Location: the office its orders and price requests land in, whose team gets the alerts. See How to Manage Partners.

Data & Integrations

29. Import. Bring your cemeteries, vendors, contacts, inventory and orders over from a spreadsheet. The page is titled Imports and every plan has it; the Inventory card shows on plans with Inventory. Pick a card and the import takes you through it step by step: File (a .csv or .xlsx file), Columns, Details (inventory only) and Review, where Import 10 first to test lets you check a few rows before the rest go in. With QuickBooks connected, the Inventory import can also bring your products in from QuickBooks, with no file. Import history lists your recent imports, with Undo to take one back. Contacts, Inventory, Cemeteries and Vendors each have a small (i) next to their title that points here. See How to Import Your Data from a Spreadsheet.

30. AI. Two switches for MonuBrain, which answers questions about your orders, quotes and payments on the Dashboard. Give AI access to your data lets it read your orders, quotes and contacts, and starts off. Give AI access to payments adds payment and revenue figures. Changing them needs MonuDesk Max and permission to edit Settings. Below Max, AI carries a Max chip in the menu, and the page reads "Requires MonuDesk Max." with a MonuDesk Max banner and Upgrade to Max above the switches. See MonuBrain: Ask About Your Orders.

31. Integrations. Connect QuickBooks Online (QBO) and other outside services, per office. It also holds Dimension order in QuickBooks, which tells MonuDesk whether a QuickBooks item name like Bevel 24x10x4 means width by height by thickness or some other order, so imported items land with their sizes in the right boxes. This is also where the Order sync activity log lives, showing everything MonuDesk has done in your QBO company per order, so you can see exactly why something did or did not sync. Its Inventory sync view also carries a read-only note repeating your current How stones are itemised choice, so you can see how a stone will reach QuickBooks; the choice itself is made on the Stone Itemisation page. QuickBooks is a Pro feature, so on Basic the QuickBooks page shows blurred behind Available with MonuDesk Pro. Further down sits the Google Ads card, marked Max: with MonuDesk Max, connect your Google Ads account to import your campaign costs every night, read only, and, if you switch it on, send confirmed orders back to Google. See How to Connect Google Ads.

32. Stone Itemisation. The How stones are itemised card: bill a stone's die and base as one line or two, on documents and in QuickBooks. It applies to new orders only, so orders you already made keep the format they were created with.

33. Documents. Your company contract text, the wording that prints on your agreements. It has a formatting toolbar, so bold, lists and paragraph breaks all carry through to the PDF.

Two paths that do not exist

These come up often enough to name outright, because looking for them wastes real time:

  • There is no Settings → Order Management → Stages, and no other page inside Order Management. Order Management holds one setting, Count active orders only. Stages, Card Display, Order Alerts, To-Dos, Taxes, Stone Itemisation and Accessories each have their own page in the Settings menu.

  • There is no Settings → Order Management → Service Types. Service Types is a page in its own right, under Order Creation.

Also worth knowing: what the family sees on the portal is set in three places. Whether the portal link goes out on new orders, whether a quote produces a contract, and which parts of the portal families see are set in Customer Portal. Which stage names and subtext appear on their progress timeline is set per stage in Stages, and whether a particular file is shared is set per file on the order itself.
