How to Import Your Data from a Spreadsheet

Bring your cemeteries, vendors, contacts, inventory and orders into MonuDesk from a CSV or Excel file in Settings → Import.

If your cemeteries, vendors, contacts, inventory or open jobs already live in a spreadsheet or in another system, you can bring them into MonuDesk in one go instead of typing them in. Go to Settings → Import, listed under Data & Integrations in the Settings menu. The page is titled Imports.

Every plan can use it. You need access to Settings to open the page, and importing orders needs permission to create orders.

What you can import

The page has one card for each kind of record:

  • Cemeteries: "Bring over the cemeteries you work with: names, contacts, fees."

  • Vendors: "Your suppliers with contacts and shipping lead times."

  • Contacts: "Customers and business contacts from any spreadsheet export." A contact whose city, state and ZIP sit in separate columns of your file still prints its full address on the shop ticket.

  • Inventory: "Stones, vases and accessories with sizes, colors and prices." This card shows only on plans with Inventory (Pro).

  • Orders: "Open quotes and sold jobs from your old system: purchaser, cemetery, stage and promise date."

Each card has a Download an example spreadsheet link, so you can see what a file for that card looks like or use it as a template.

Step by step

  1. Click the card for what you are importing.

  2. Upload your file: drop it on the window or click Choose File. MonuDesk takes a .csv or .xlsx file. An older .xls file is not accepted, so open it in Excel and save it as .xlsx or CSV first.

  3. MonuDesk reads the file and matches your columns to its fields. The badge next to the Imports title tells you how: AI mapping on, or Manual mapping when automatic mapping is unavailable. With manual mapping you match each column to a field yourself, and every field marked Required needs a column.

  4. Check Review before importing. It shows which column went to which field and lists your rows, each marked Ready, Duplicate or with what is wrong with it. Untick a row to leave it out. Rows that match a record you already have are marked Duplicate and left out, unless you switch them back in with the switch above the list, for example Include the 3 duplicates anyway. If a column landed in the wrong field, click Adjust mapping and change which column goes where.

  5. Click Complete Import. MonuDesk counts through the records as it imports them, then shows how many were imported.

If some rows could not be imported, they are listed with the reason under Why it failed. Click Download failed rows as CSV, fix those rows in your file and import just them again.

Importing orders

The Orders card brings over open quotes and sold jobs from your old system, with the purchaser, the cemetery, the stage and the promise date. Imported orders come in without prices or documents, and they never email the family. When a purchaser is already one of your contacts, MonuDesk uses that contact instead of creating a second one.

Import history and Undo

Import history at the bottom of the page lists your company's last 20 imports: when it ran, what was imported, the file name, how many records were imported and how many failed.

To take an import back, click Undo on its row. MonuDesk asks Undo this import?; click Undo import to confirm. Undo removes what that import created, and the row then reads Undone. Undoing an orders import removes the imported orders, and the contacts they brought in stay.

Getting there from your lists

Contacts, Inventory, Settings → Cemeteries and Settings → Vendors each have a small (i) next to their title. It reads "Already have a list? Import it from a spreadsheet in Settings > Import." The link opens the import for that list straight away.
