How to Create a Service Order
Set up a service order for cleaning, repairs, lettering, or on-site work.

In the Items & Configuration step, click Service at the top to switch from a monument order to a service order. The form changes to show only the fields relevant to service work.
Service Details
Select the Service Type from the dropdown:
Repairs / Leveling, Cleaning, Lettering, Litho / Refinish, or On-Site Service.
Below that, enter a Description. This text will appear on the customer's invoice, so write it for the customer to read.
Pricing & Measurement
Select a Pricing Type:
Flat / Per Job — enter a single service price and you're done.
By Area — enter the Width, Height, and Base Fee. The price is calculated as width x height + the base fee.
By Letter Count — enter the Number of Letters and Price Per Letter. The system calculates the total. This works well for lettering and litho work. You can adjust the final price manually even after the auto-calculation.
Tip: If you don't know the exact measurements yet, leave the fields blank, save the order as a Quote, and come back later to click Edit Quote from the order board. Fill in the details after visiting the cemetery and make sure you save at the end.
Line Items
Service orders support line items for any additional charges beyond the main service price. Click + Add Line Item to add one. For each line item, enter a description, quantity, and price.
The UI is the same as the line items on a monument order. Each line item appears as its own row on the invoice, separate from the service price. Use line items for things like delivery fees, expedite charges, custom add-ons, or anything that needs to be billed in addition to the base service.
Workflow Requirements
These checkboxes tell the system which to-dos to create for this service order:
We already have a photo of the stone / area — if checked, attach the photo below under Reference Photo or upload it later. If unchecked, a Photo to-do is created on the order.
We need to go to the cemetery before doing the work — creates a Visit Cemetery to-do. Used for measuring, confirming condition, or confirming lettering details.
This service requires rubbing — creates a Rubbing to-do for creating a rubbing of the monument.
Reference & Internal Notes
Reference Photo — upload a photo of the stone or area. This helps quote and plan the work, and it will be attached to the order in the order overview.
Internal Notes (Staff Only) — notes that are only visible to your team. These will not appear on customer-facing documents like invoices or receipts.
When you're done, click Next to continue to Billing & Payment. The Sketch & Inscription only applies to monument orders.
Customer Portal: service orders now support the Customer Portal too, with a document-focused layout instead of the monument progress timeline. As long as the customer has an email on file, the portal email is sent. Read more in How the Customer Portal Works.
Note: When you select Service, the Pricing panel changes to show only Service, Cemetery Fees, and Tax. The monument-related price lines are hidden.
